Responsibilities:* Administrates meeting and project rooms reservation system (My E-Rooms) and its corresponding equipment * Support internal customers and visitors in the use of basic services and equipment (telephone, printers, office space, file cabinets)* Coordinates and supervises functioning of financial and administrative reporting. * Reviews financial records for accuracy. Identifies and corrects errors.* Assist managers in the use and understanding of procurement, administrative and finatial tools. * Keep records of Modern Office System updates, financial reports, forecasts, contracts, policies and company procedures and reports.* Assist the application of management tools and company procedures.* Expedite approvals, payments and reports when required.* Support WME team in the use of dedicated tools and administrative, procurement, financial or reporting procedures and control it's proper usage.* Supervise efforts to improve procedures and tools when required. * Assist project and property management when needed to evaluate new premises or new projects.* Schedule WME reporting duties and ensure that those activities are being performed as expected* Organize messenger daily workload and priorities* Lead the implementation of new procedures and tools* Manages the cleaning service* Respond to emergency situations and customer concerns
Minimum Requirements:
* High school Diploma or GED equivalent + 2 year experience assisting Property or Facilities Managers* Demonstrated supervising ability;* Proven record of providing excellent internal and external customer service;* Excellent interpersonal skills and problem solving ability.* Very good verbal/written communication skills;* Detail oriented, analytical, very good PC skills (office); * May be only staff member on duty during certain times.* Knowledge of basic business and accounting practices;
